The Administrative Support-contributes to the profitable growth of ComTrans by supporting his/her respective program to ensure professional communication, superior internal and external customer service, and data entry activities.
The Administrative Support provides overall administrative assistance to the his/her respective Program as requested and required. Tasks are distributed based upon the Program needs and employees area of responsibility. This position requires that all duties are completed in a timely manner, ensuring accuracy and delivering internal and external customer service with professionalism and positive attitude and effective communication with regards and in support of ComTrans mission and goals. ComTrans is a safety sensitive position.

EMPLOYEE STATUS: Regular: Full-time; hourly/non-exempt position.
Education: High School Graduate or equivalent, some college or technical school preferred
Experience: One year Human Resources Admin experience preferred.
Age: All ComTrans employees must be at least 18 years old, all driving positions are required to be at least 21 years old as required by insurance. Exceptions may be made for non-driving positions on a case-by-case basis and dependent upon the position and its responsibilities.
Valid AZ driver’s license.
Approved by our insurance company as a driver.
Company Provided Training/Certifications
Have or be able to obtain a level one fingerprint clearance card
Crisis Prevention and Intervention.
Complete ComTrans Driver Certification Training Program.
Skills, Knowledge and Abilities:The Administrative Support-must:

The Administrative Support reports directly to the Human Resources Manager.
The department encompasses several employees with different job duties. The responsibilities may or may not be applicable for each employee and the Program Manager will assign responsibilities as needed: The responsibilities of this position include but are not limited to, the following:
Assists with recruitment and interview process:
o Compile New Hire Packs keeping an adequate supply
o Greet all applicants positively and professionally
o Review New Hire packs as needed, for accuracy
o Answer general applicant questions
Assist with new employee files:
o Prepare new employee files
o Audit new employee files ensuring compliance
o File audited and completed employee files in HR Manager’s office
Perform clerical functions
o File employee paperwork/forms in employee files
o Maintain office supplies and submit order for approval
o Maintain supply of driver uniforms-order accordingly
o Maintain and update driver and attendant mail boxes.
o Maintain employee certification binders (fingerprint, CPR/FA, Tax credit books, etc)
o Track TB testing for renewal, notify supervisor as needed
o Disposition terminated employee files according to file retention and disposition rules.
o Confirm with employees attendance of required certification training.
o Schedule training rooms as needed
o Update employee information in HR Information System (address changes, certification updates, DOT, TB, fingerprint cards, etc)
o Run employee reports as requested
Perform administrative tasks
o Assist HR Manager with various special projects
o Work closely with HR staff and assist as needed
o Assist Executive Assistant with various duties
o Assist Supervisors and Managers with a variety of requests
Assist with reception duties as needed and requested.
Other duties as assigned.
